Initial Situation
The requirement
A new requirement from the funding agency stipulated that personal assistance assignments in the workplace must be billed to the nearest minute in future. The existing time recording system was unable to do this, so a new tool was needed.
Our Solution
That is what we have implemented
With ZEF-X, we have developed a tool for organising personal work assistance and time tracking that simplifies things for clients, assistants, and administrators alike. ZEF-X records all relevant data on clients and assistants, e.g., the extent and type of care or skills required. Clients can independently report and coordinate their personal assistance needs. They have access to a pool of assistants who are automatically assigned and prioritised based on the skills required and available.
Vacation planning and calculation, overtime pools, and substitution rules are fully implemented, ensuring that assistance can be provided as needed with minimal effort. The simplification is also clearly noticeable in administration: after confirmation of an assistant by the client, all data required for billing is transferred to the administration via an interface. For the substitute's travel routes, this even includes screenshots showing the shortest routes relevant to the funding agency.
The customised development allowed all framework conditions to be taken into account. For example, complex vacation regulations are considered, as are individual time accounts and the workload of assistants.
